To enable us to provide and maintain the highest standards of care and education at Toadhall Montessori Nurseries and Out of School Academy, we require all parents to be aware of and abide by the following Terms and Conditions. Along with your completed Registration Form, these Terms and Conditions support your signed Contract and all information given via our Prospectus, Website and verbally, during Show Arounds.
These Terms and Conditions cover attendance at Creche, Nursery and Out of School Academy
- All Parents must complete and sign a Registration Form and Contract and bring in any documents required before commencing
- A non-refundable registration fee is payable
- All Parents must sign to say they agree and will comply with all Toadhall Montessori Nurseries and Out of School Academy Policies and Procedures at all times
- All Parents will complete a declaration to say they will fully comply with all aspects of our Covid-19 Risk Assessment and Site Operational Procedures AT ALL TIMES
- We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and office management procedures to safeguard and secure the information. We do not store credit card details nor do we share details with any 3rd parties. All documents are stored in e format in line with our GDPR/Privacy Policy
- A Child Contacts form MUST be completed before the child begins settling in. Where possible, this must be signed by both parents and given to the Creche/Nursery/Out of School Academy Leader. It is extremely important that you inform us of any alterations to telephone numbers, contact details or any other changes which occur throughout the year, as these forms are updated annually.
- Parents of children attending creche and nursery are encouraged to support our ‘Home Visits’ programme to support their child’s transition from home to creche or nursery
- Creche and Nursery only – Parents are required to bring in photos as requested, before the settling in sessions commence. These photos are vital to give a sense of belonging for your child and to support them in their transition to the setting and in their ‘learning journey’. The photographs provide a close link to home and can be used by the keyworker, with your child, to enhance the settling in process and transition from home to the setting
- Children attending the Before/After School Academy and/or the Holiday Academy will be required to complete their own ‘One Page Profile’ before commencing, which includes a photo of themselves
- Settling in sessions for Creche and Nursery, will only commence when all paperwork and required documents are received. Parents are asked to contribute to the settling in process by giving written feedback after each session
- Parents must complete all of the following proformas ,where applicable BEFORE their child commences and ensure they are updated whenever there are any changes :-
- Dietary requirements
- Individual Care Plan
- 24 Hours Care Plan – Creche and Nursery only
- One Page Profiles
- Emergency Medical Consent
- Outings, Trips and Visits
- Applying Sun Cream before attending and allowing staff to reapply our own sun cream during the day. Parents can bring in their own cream if their child has any allergies etc.
- Toadhall Montessori Nurseries and Out of School Academy takes photographs and /or video footage which may be used in each child’s learning journey, wall displays, weekly overviews of activities, for Parent Evenings /Open Days or training or promotional material. Photographs are also taken during the day by staff to support evidence and achievement for the children’s records. These would never be passed onto any third party or used for any other reason. We require parental consent for photos or video footage to be used for these purposes
- Creche, Nursery and After School Academy –You must provide a complete change of clothes for your child which is kept on site. They must be clearly labelled. The staff will do everything possible to keep your child’s belongings safe. Toadhall Montessori Nurseries cannot take any responsibility for items of clothing that are lost due to the fact they have not been labelled correctly.
- Photographs and written instruction about who will be dropping off and collecting your child is required. If you are not collecting your child personally from Creche, Nursery or Out of School Academy, it is essential that staff are made aware of the person that you have authorised to do so in your absence. Only persons identified on the Registration forms are able to collect your child.
- A password system is used and we will not allow children to leave with anyone who has not been made familiar to staff. We also ask that as a parent you do not let any person into the Creche, Nursery or Out of School setting that you are not familiar with, even if you believe it to be another parent
- All gates to entrances must be kept closed at all times
- Parents must adhere to the Parking Policy and Procedures for each setting, at all times
- Parents MUST NOT use their mobile phone or Smart devices within 100 yards of the boundary of each setting
- Please ensure that your child does not bring any electronic devices including mobile phones to Toadhall Montessori Nurseries and Out of School Academy as we cannot be held responsible for any damage or loss to these items. This is also part of our Safeguarding Policy
- We adhere to a strict child/staff ratio, therefore it is important that you do not arrive earlier than the starting time or later than the finishing time.
- Should you arrive later than the finishing time (being 12-30pm and 6pm at Creche and Nursery and 6-30pm for the Out of School Academy) you will be charged at a rate of £25.00 per 15 minutes. Any exceptional circumstances will, of course, be taken into consideration.
- If your child is not able to attend the setting for any reason you must notify the Team Leader as soon as possible and certainly no later than 9am
- With regards to administering medication, ‘prescribed medicine’ which is clearly labelled for your child can be administered by a member of staff during the day and once handed over will be stored appropriately. Parents sign daily medicine forms to authorise staff to administer the prescribed dosage. At the end of the day you will be requested to sign to confirm that you have been informed of dosage and times administered. In addition, should your child develop a high temperature whilst at the setting, with your prior consent, we are able to administer a single dose of Calpol or other analgesic that you provide. If your child’s state of health does not improve you will be asked to collect them from the setting, preferably within one hour. Please adhere to our Sickness and Illness Policy for guidelines concerning your child’s time away from the setting, following an illness.
- If your child has an allergic reaction, this is deemed as an emergency and the Medical Emergency Policy and Procedures will be implemented. Piriton will be administered and parents informed immediately. For children with known allergies who require an epi pen ,this will be given as per written instruction and consent form parents
- Fees for Creche, Nursery, Before and After School Academy and Holiday Academy MUST be paid on time as stated in Fees section/webpage. Late payment charges will apply for fees not received on time
- 8 weeks written notice is required to withdraw your child or 8 weeks fees paid in lieu of such notice (for Creche/Nursery and Before and After School only)
- Fees are payable for Bank Holidays (for Creche/Nursery and Before and After School only)
- Fees are payable due to unforeseen circumstances and or forced closure, as stated in the Fees section (this applies to Creche/Nursery, Before and After School Academy and Holiday Academy)
- Children may be excluded from Toadhall Montessori Out of School Academy, if payment of fees has not been made or is overdue
- All our employees are contracted not to undertake a position of work of a similar nature with a customer of Toadhall Montessori Nurseries and Out of School Academy, for a period of 2 months after leaving our employment and are bound by this contractual condition. Failure to comply with the above will render the new employer liable to pay to Toadhall Montessori Out of School Academy, a sum equivalent to two months salary for the employee at the time they terminate their contract.
- Employees at Toadhall Montessori Nurseries and Out of school Academy must not undertake any babysitting for any parent and child who attends our organisation, without the prior written consent of the Principal Leader
